Who This Checklist Is For
If you are maintaining a JCB machine, buying your first JCB attachment, or trying to decide between a wheel loader and an excavator, this is for you. I'm a fleet coordinator with eight years of equipment orders under my belt. I've made enough mistakes to fill a small binder. This checklist is the one I wish I had in 2017.
There's nothing new about these steps. But the details have changed. What was best practice in 2015 may not apply in 2025. So if you're still following the old rules out of reflex, read this before you order.
Step 1: Read the Hydraulic Fluid Spec Twice
The first mistake I made was ordering hydraulic oil without reading the spec. I said, '10 gallons of hydraulic oil.' They heard, 'whatever we have in stock.' Result: a drum of AW-32 that met the weight but not the additive requirements. I learned that the hard way in 2018.
JCB machines call for specific fluids. If the manual says JCB Light Hydraulic Fluid, that's not a suggestion. It's not about 'light' viscosity alone. It's about the anti-wear package, seal compatibility, and cold-flow performance. The 'any hydraulic oil will do' thinking comes from an era when systems ran at lower pressures and tolerances were looser. That changed.
Before you order:
- Check the machine's exact fluid spec in the service manual or the JCB Light Hydraulic Fluid product sheet.
- Confirm the viscosity grade for your operating temperature range.
- Ask for the product data sheet; don't settle for 'it's equivalent.'
- Keep a sample of the first delivery for oil analysis.
That last step saved us once. We found coolant in a fluid sample before it wrecked a pump. Total cost of the test: $65. Cost of the pump: $1,400. Do the math.
Step 2: Match the Machine to the Material: JCB AG Wheel Loader vs. General Duty
If you're buying a JCB AG wheel loader, the 'AG' isn't a marketing badge. It changes the machine's design: tire size and tread, cab filtration, loader cycle speed, and attachment geometry. An ag-spec wheel loader is set up for feed, gravel, silage, and dirt work around a farm. It's not built to sit on a demolition slab all day.
I watched a colleague order a general-duty wheel loader for a dairy operation because it was $8,000 cheaper. It lasted 14 months before the tires were shredded and the hitch linkage needed repairs. The three things to verify:
- Payload vs. actual material density; a machine rated in buckets may not lift a full bucket of wet silage.
- Tire compound; agricultural, industrial, or flotation.
- Attachment coupler; does the shared JCB attachment system fit?
Dodged a bullet on this one myself. I was one signature away from ordering a compact wheel loader for a recycling yard. Before I signed, I checked the material density. The standard bucket would have been over capacity on every load.
Step 3: Don't Skip the Water Pump Inspection
A water pump failure isn't exciting. It's just an overheated engine, leaking coolant, hours of downtime, and a tow bill. Every time.
I made that mistake in late 2020. We skipped the cooling system inspection to keep a machine on a job. Two months later, the water pump bearing started grinding. The fix took two days and a new radiator cap, pump, and belt. The cost was over $2,000 including labor, and the job was delayed.
On every JCB pre-season checklist:
- Check coolant level, condition, and freeze point before the season starts.
- Listen for bearing noise at the water pump with the engine idling.
- Replace the water pump with a JCB-spec part; don't accept a 'will fit' pump.
- Replace the belt and tensioner when the pump is off. Cheap insurance.
It's one of those tasks that feels like a waste of time until it saves you a week.
Step 4: Gas Pump? Yes, Contaminated Fuel Ruins More Engines Than Worn Parts
Here's a phrase a lot of crews use: 'gas pump.' They don't mean a gas station. They mean the fuel transfer pump—the 12V or 240V pump you use to fill the machine's tank. That pump is a weak point for contamination. Dirt, water, or rust particles will destroy a common-rail engine much faster than a burnt valve ever could.
One of my biggest regrets is buying a cheap transfer pump because it was on sale. It worked fine for a week. Then it started pushing rust flakes into a new-to-us JCB excavator's fuel tank. The injector repair—not covered by warranty—cost more than a proper filtered pump would have cost for three machines.
If you have any kind of bulk fuel operation:
- Use a pump with a water-separating filter.
- Check the filter media after every 500 gallons, or monthly.
- Don't use a 'universal' pump without checking flow rate and fuel compatibility.
- Ground the pump and the tank to avoid static ignition.
That's the step most people forget. The pump is not a throwaway accessory. It's the last line of defense between the tank and the injectors.
Step 5: Know What an Excavator Is—And What It Isn't
Let's answer the basic question: what is an excavator? An excavator has a rotating cab, a boom, a stick, and a bucket. The cab rotates through 360 degrees. It digs below grade, swings, and dumps. A backhoe loader, no matter how iconic, is not an excavator. It has a loader in front and a smaller digging arm in back, and the cab doesn't rotate.
Standards like ISO 6165 define an excavator as a self-propelled earth-moving machine with an upper structure capable of slewing, used for digging with a bucket. That's a useful baseline. But the definition has expanded in practice. Today, an excavator can mean anything from a 1.5-ton mini to a 50-ton quarry machine.
I've watched first-time buyers ask for 'a JCB, like a digger' and end up with the wrong machine. The distinction matters because an excavator's lifting capacity, digging depth, and stability are completely different from a wheel loader's.
This is also where industry evolution shows up. Thirty years ago, 'excavator' might have meant a 20-ton machine with mirrors and cables. Today you get GPS, auto-idle, telematics, and emissions controls. The fundamentals haven't changed; an excavator still digs. But the execution has transformed.
When you're comparing models, don't just ask 'how many tons?' Ask:
- Track vs. wheel; what's the ground condition?
- Maximum digging depth at the rated configuration.
- Digging force for the material you handle.
- Transport weight; is your trailer rated for it?
I rented a 5-ton excavator once expecting it to handle a storm drain job at the same pace as the 14-ton machine we normally used. It didn't. The 5-ton is great—in the right trench. Wrong tool, wrong expectation.
Step 6: Verify the Parts and Dealer Network Before You Need It
JCB's dealer and parts network is one of the brand's big advantages. But 'global network' doesn't mean every part is on a shelf near you. It means you need to verify what's available for your specific model—especially if you're buying an older machine or an ag-spec model.
Before buying any JCB machine, I spend 15 minutes on the official JCB parts catalog. I look up the engine filter part number, the water pump, and the hydraulic filter. If any of those parts show 'special order' with a two-week lead time, I factor that into the purchase decision. That habit has saved me from buying a 'great deal' that would have spent half its first year waiting for parts.
Also check the local dealer's response time. A dealer 50 miles away with a daily parts delivery is more useful than a dealer two miles away who doesn't return calls.
Common Mistakes at the End of the Job
Here's the section nobody writes until they've cleaned up somebody else's mess.
Don't assume OEM parts are overpriced. In my experience, a JCB-spec water pump or hydraulic filter costs a little more up front and a lot less over the life of the machine. I've installed aftermarket parts that fit perfectly and failed quickly. Not every non-OEM part is bad, but every non-OEM part needs to be scrutinized.
Don't skip oil analysis. A $65 oil sample can tell you about coolant leaks, fuel dilution, and bearing wear before you hear it. I have caught two potential failures this year alone because of oil analysis.
Don't let a 20-year veteran's 'we always did it this way' talk you out of reading the manual. Their experience is real. But the fluid specs, fuel technology, and hydraulics have changed. To be fair, some fundamentals haven't changed—maintenance before a failure is cheaper than repairs after one. That part is permanent.
